Key Responsibilities • Reception / Front Desk Management: • Receive & direct telephone calls, relay messages to the appropriate staff member • Greet, assist and direct the visitors to the appropriate staff member /visitor's room • Maintain & monitor office muster books such as Attendance register, visitor book, contractor staff, etc. • Office Stationary • Maintain and monitor inventory of office & printed stationery, refreshments and office utility stocks/Phone stock etc. • Checking vendor invoices & identifying discrepancies, if any • Supervise wastage of stationary, if any, and highlight to local management • Courier / Physical Mail • Accept and deliver all mails received through hand-delivery, courier & ordinary post • Appropriate inward entries to be made in the Inward Register • Keep records of entire out-going mail correspondence in the Outward Register • Ensure POD for all outward mails are maintained • Travel Desk: • Arranging local transportation for employees as per need • General Administration: • Manage the Facilities team to ensure tidiness of the visitor's / meeting rooms, as well as overall upkeep of office and cleanliness • Custodian of Office maintenance • AC regular maintenance with building management • Monitor outdoor duties of Office Messengers, co-ordinate to ensure completion of daily tasks assigned to them • Assist the Directors and other staff members as requested • Any other tasks as it may be assigned from time to time
