Follow up with supplier/ shipper for goods readiness date once supplier PO is raised. • Sending out shipment detail request (Table Format – Type & number of containers, gross weight, volume, address etc.) to supplier once they confirm the goods readiness date. • Sending out request for freight quotation to the freight forwarders based on the shipment details received from supplier/shipper. • Prepare and maintain comparison sheet for the freight rates provided by freight forwarders.(Filing the same for records) • Freight forwarder selection and evaluation based on the quotes received, their service efficiency and areas of expertise. • Hands on experience in price negotiation with freight forwarders and developing strategies for increasing profitability of the company and to ensure process improvement. • Review draft documents and make sure there are no discrepancies across the shipping documents. • Share the documents with clearing agents and coordinate with them to ensure that HS codes shared are correct and there is no miss match in the details across the shared shipment documents and shared draft BL. • Once the documents are reviewed and confirmed and ensuring that all food products are registered in Qatar single window system ask the supplier to go ahead for loading. • Responsible for tracking the shipment status and updating daily shipment tracker - for proper follow up with supplier on status of original documents. • Ensure that final documents are received well in advance to shipment arrival and the same are shared with clearing agent along with signed LOI and registered QFR (in case of food products). • Coordinate with customs relation officer/ PRO to make sure preapprovals are obtained for toys, plastic items, pet foods, eggs etc. and share the corresponding approval documents with clearance agent prior to shipment arrival. • Ensure that perishable item shipment is cleared in 12 hours in case of Air shipment. • Ensure no additional port storage, line demurrage, unwanted plug-in charge, genset charge or trailer detention charges become applicable by pushing the clearing agent to clear the shipment without delay and coordinate with warehouse team to offload the container as soon as they report at our warehouse. • Follow up with forwarder/ clearing agent to ensure that they submit invoice within 2 days of shipment delivery. • Review and confirm the costing sheet including landed cost. • Review and confirm service provider invoice and obtain immediate line managers signature before forwarding the same to finance section for processing payment.
