About Jill Brooks

I am an integral part of the Procurement Governance Team and, specifically, I am the Secretariat for a weekly approval board for projects and contracts between £250k - £5m. The role involves booking meeting rooms and issuing calendar invites to the board members and those presenting their papers, collating the papers and the agenda, operating the Teams lobby to ensure only those who should be present at any given time are allowed access to the meeting, taking notes and issuing the minutes, ensuring that the approved papers are electronically approved within SAP Sourcing and, if the paper is not yet approved by A N Other, I will ask them to approve it, giving them the necessary information that reassures them it has been approved by the board. Another part of my role is very similar to the above – I collate the papers and the agenda for a fortnightly high value approval board (£5m - £20m) and, post-meeting, I issue the minutes and, again, ensure that the approved papers are electronically approved within SAP Sourcing. To a lesser extent I also look after the Procurement team's admin needs including ordering stationery, arranging meetings / meeting room bookings (internal and external venues) and archiving contracts. Whilst it’s definitely not specified within my job description, I have often organised the team’s Christmas event – trying to find somewhere in London that the majority of the team (over 30 people) will enjoy can be challenging but that’s one of the things I love about my job – it’s never boring! I am a people person and regularly deal with all levels of staff, up to, and including, our directors. I enjoy helping others to be able to do their job to the best of their ability – it often seems that if people don’t know what to do / where to look for something, I’m the ‘go to person’ to ask! I have worked within the electricity industry since I left school and have, mainly, loved every minute which is why I’m still here!
